Instant Expert vs Recruit CRM: agency workflows and paid candidate outreach

Compare Recruit CRM candidate pipelines, client submissions and pricing scope with Instant Expert paid recruiting calls and replies.

Instant Expert EditorialPublished 5 min read

Recruit CRM is the stronger fit for an agency managing candidates, client relationships and placements. Instant Expert is useful for finding selected professionals and offering payment for a call or reply. Choose the former for running the recruiting business; evaluate the latter when a paid introduction would help start a specific candidate conversation.

An agency that already has a working ATS should first identify what is missing. A new database will not automatically make a difficult opening more appealing. A new outreach channel will not automatically fix slow client feedback.

Pricing depends on the workflow you need

The live Recruit CRM pricing page checked September 25, 2026 showed Pro, Business and Enterprise packages and demo links, but no numeric subscription rates. Ask for current monthly and annual quotes for your team rather than relying on older comparison-site prices.

Its plan table distinguishes one hiring pipeline in Pro from multiple pipelines in Business and Enterprise, and places open API access in the latter two. Enterprise includes additional automation and enrichment allowances. Confirm the current limits for the exact package you intend to use, especially where custom workflows and communication usage affect the total.

Instant Expert provides a quote for each selected person and exchange. Your budget is the displayed buyer total, including the compensation and platform charge. It is an additional sourcing or engagement expense, not an ATS seat or a placement service. Add it to the search budget without removing the time and cost of interviews, client coordination and offers.

The client-submission test

Consider an illustrative agency filling a head-of-customer-success role. The recruiter has three credible candidates, but the client repeatedly replies, “I need someone more strategic.” Before expanding the shortlist, turn that objection into something assessable: does the client mean enterprise account planning, managing managers, forecasting renewals, or building a function from scratch?

A useful candidate presentation should answer five questions in a small amount of space:

FieldExample of decision-relevant content
Relevant workBuilt a renewal forecast across a defined customer segment
ScaleScope of team and customers, where the candidate may disclose it
MotivationWhat responsibility they want next
ConstraintsLocation, compensation expectations and timing
Open questionExperience managing managers still needs assessment

Use Recruit CRM's evaluation to see how that information reaches the client and comes back into the candidate record. Ask to present one candidate, capture a concrete objection and find it again during the next discussion. Do not judge the demo only by how attractive the generated summary looks. A polished paragraph that drops the unresolved question makes the hiring decision harder.

The same check is useful for AI-assisted summaries: compare the output with the underlying notes. “Helped a leader prepare a forecast” must not become “owned the renewal forecast.” Fix the source note and review the final submission before sharing it.

Paid outreach can help you make a clear proposal to a selected professional whose experience fits the assignment. Search for relevant customer-success leadership or import known people by name and company, email, or LinkedIn URL. Review the profile, choose the requested exchange and inspect the quote before sending.

A 15-minute call invitation could state the role, reporting line, working arrangement and compensation range, then ask whether the person wants to explore it. If the client is confidential, explain what you can disclose now and when you can share more. Avoid a generic “exciting opportunity” message that requires a call just to discover a basic mismatch.

During the introduction, resolve the information that would make a client submission useful. Ask what kind of scope the person wants, discuss the actual responsibilities, and explain the assessment process. If they are interested, ask permission to proceed with the next recruiting step. A paid conversation does not itself establish availability, suitability or agreement to be represented to a client.

If both products are used, record the relevant outcome in Recruit CRM. A permitted CSV transfer can bring selected contact identifiers into Instant Expert. Keep the factual candidate notes together so a colleague does not ask the person to repeat the same introductory conversation.

Which bottleneck are you buying against?

Evaluate Recruit CRM when the agency needs a consistent way to run jobs, candidates and client communication. Test it with a real submission and real feedback. Consider Instant Expert when the recruiting process works but a selected set of people merit compensated invitations. Review their profiles and request quotes before adding outreach spend.

The working model

Make candidate feedback actionable

  1. 1

    Define strategic work

Translate the client’s adjective into actual responsibilities.

  2. 2

    Present evidence

Include experience, motivation, constraints and open questions.

  3. 3

    Resolve interest

Use a recruiting conversation or paid introduction when appropriate.

  4. 4

    Record the decision

Keep specific client feedback attached to the search.
