The useful question is whether you need ongoing sourcing and follow-up or a way to start a specific conversation. For a team considering Gem, these are three changes its Greenhouse connection makes.

Bring a sourced person into Greenhouse

Gem's browser extension can create a Greenhouse candidate record with basic information such as name, company and title. It also checks for existing records: an email match links the profiles automatically, while a name match presents possible matches for you to inspect. Gem's Greenhouse integration.

That distinction matters when two people share a name. Review a possible match before treating an old application as the history of the person you have just found.

Keep the outreach conversation with the hiring record

With automatic email sync enabled, Gem can put sequence emails, candidate replies and later messages in those threads into the Greenhouse activity feed. This is off by default; Gem support or your customer-success contact enables it.

Those messages become visible to everyone with access to that candidate in Greenhouse, often including interviewers. Decide whether that is the right audience for your recruiting conversations before enabling it.

Check ATS updates without assuming they are immediate

Greenhouse changes reach Gem on different schedules. Candidate and application changes are estimated at 15–30 minutes; creating or updating interviews and scorecards syncs hourly. These are estimates for changes flowing from Greenhouse into Gem, not a promise about every action in both directions.

The activity feed is checked when you view a candidate, but the documentation still puts it in the 15–30-minute group. Opening a profile does not mean every change is already visible.

There is also a material exception: Greenhouse bulk actions do not automatically appear in Gem. Before a bulk change, Gem asks teams to coordinate with their customer-success contact so reporting stays accurate. Documented sync intervals.
